Hi,

We are very much looking forward to welcoming you as an exhibitor at The Wedding & Venues Show at Newcastle Racecourse on Sunday 18th January 2026  We anticipate another fantastic day for everyone involved!

PLEASE READ THROUGH TO END FOR IMPORTANT INFORMATION ON ACCESS.

1. Promoting the Event
 If you haven't already, please help us make the event even more successful by sharing and promoting it using our official material:

2. Event Location & Stand Details
 

The event takes place within BRANDLING HOUSE.

Location: Brandling House is immediately to the left of The Border Minstrel Pub.
Stand Position:

The specific room will be confirmed in a separate email sent prior to the event.

Your allocated table/position will be clearly marked with your company name.
Important: Allocated positions and tables cannot be moved on the day.
 

3. Exhibitor Access & Set-Up Times
PLEASE READ THIS SECTION CAREFULLY FOR CRITICAL ACCESS INFORMATION.

Set-Up Time: Access for exhibitors is from 7:30 am on Sunday, January18th 2026.

Set-Up Deadline: All stands must be set up and ready by 10:30 am LATEST.
Important Note: There is no opportunity to set up the day/evening before.
Late Arrivals: Please be aware that entry may be refused if you arrive any later than the 10:30 am deadline.

A linited number of VIP Preview Visitors will be arriving from 11 am most visitors will arrive from 12 Noon onwards.

 The event ends at 3pm all stands must remain in place until then.

4. Arrival, Unloading & Parking

To ensure a smooth arrival for all exhibitors, please follow these instructions precisely:

Unloading Zone: You may offload items at the front doors of Brandling House.

Ramps & Lifts:

A ramp is available for items on wheels.
For extra-large or heavy items (like arcade games), you may need to use the TRADE LIFT to Level 1 located to the left of the main entrance.
A smaller lift is available in the reception area for access to Level 1 & 2.

CRITICAL

Vehicle Movement 

Once you have offloaded your items into the reception area, please immediately move your vehicle to a free car park.
DO NOT WAIT until your stand is set up inside before moving your vehicle. Waiting causes significant bottlenecks for other arriving exhibitors.
Free Car Parks: Available opposite Brandling House or to the right of The Border Minstrel Pub.

5. Essential Pre-Event Communication

To help us manage logistics and ensure reliable communication, we ask that you send a quick WhatsApp message to WhatsApp Number: 0749 321 345 2

Please send your Name, Company Name, and your likely arrival time (ETA).
Reason: This single channel helps us communicate any future updates reliably, as email has proven unreliable for some users.
 

6. Specific Requirements & Compliance

Special Requests: If you have any specific requirements (e.g., electrical needs, placement against a wall) that you have not already specified in your booking, you must advise us via WhatsApp when you send your estimated arrival time.

If you require an electric point, please bring your own extension lead if possible.
PAT Testing: Any electrical items that will be plugged in (e.g., TVs, speakers) must be PAT tested and display a valid PAT label.

Public Liability Insurance: You must possess a valid Public Liability Insurance Certificate and have a copy available on the day in case it is requested.

7. Breakdown

All equipment and promotional material must be removed from the premises by 5 pm
